practiceOPS uses artificial intelligence to assist with clinical documentation, diagnostic reference, and practice management. AI-generated content โ including SOAP note drafts, transcription summaries, and clinical suggestions โ is provided as a starting point only.
All AI outputs must be reviewed, edited, and approved by the licensed clinician before becoming part of the clinical record. The clinician of record is solely responsible for the accuracy, completeness, and clinical appropriateness of all documentation.
AI models can produce inaccurate, incomplete, or contextually inappropriate content. Never rely on AI output as the sole basis for clinical decisions.
The Clinical Compass โ including Acuity Protocols, the Medical Rule-Out Engine, Comorbidity Mapper, Level of Care Calculator, and Discriminative Wizard โ provides general reference guidance based on widely accepted clinical best practices.
These tools do not constitute clinical directives and may not apply to every clinical scenario. Protocol content reflects general guidelines and may not reflect the latest updates to evidence-based literature.
These tools do not replace clinical training, board-certified supervision, individualized professional judgment, or consultation with specialists. Use of these tools does not establish a standard of care.
practiceOPS is designed to support HIPAA-compliant workflows. However, the clinician and their practice are solely responsible for ensuring HIPAA compliance in their use of this software, including but not limited to:
โข Maintaining appropriate Business Associate Agreements (BAAs) with any cloud service providers used in connection with practiceOPS.
โข Ensuring physical and administrative safeguards for devices running practiceOPS.
โข Obtaining informed consent from clients regarding the use of technology tools, including AI and session recording, in their treatment.
When configured for local processing, clinical data remains on the clinician's device. When cloud AI providers are enabled (e.g., Google Gemini), clinical text may be transmitted to third-party servers for processing. Clinicians should review the privacy policies of any enabled cloud providers.
Audio recordings, when used, are processed for transcription and are not permanently stored. Clinicians should verify that their recording practices comply with applicable state and federal laws regarding consent.
practiceOPS assists in generating clinical documentation but does not independently verify the clinical accuracy of any note, superbill, or record produced.
ICD-10 codes, CPT codes, billing amounts, and diagnostic criteria referenced within the application are provided for convenience and may contain errors or may not reflect the most current editions.
The clinician is responsible for verifying all codes, amounts, and clinical content before submission to payers or inclusion in the medical record.
practiceOPS is provided "as is" without warranty of any kind, express or implied. We do not guarantee uninterrupted access, data persistence, or freedom from defects.
practiceOPS and its developers shall not be liable for any clinical outcomes, billing disputes, regulatory actions, or data losses arising from the use of this software.

If this practice ever changes, we will update this page and provide a conspicuous opt-out mechanism.
In the event of a data breach involving unencrypted personal information, practiceOPS will notify affected California residents within 72 hours of discovery, as required by California Civil Code ยง 1798.82.
Notification will be provided via email to the address on file. If the breach affects more than 500 California residents, the California Attorney General will also be notified.
For HIPAA-covered data breaches involving Protected Health Information (PHI), the clinician of record is responsible for breach notification to affected individuals and HHS as required by the HIPAA Breach Notification Rule (45 CFR ยงยง 164.400-414).
These terms and disclaimers shall be governed and construed in accordance with the laws of the State of California, without regard to its conflict of law provisions.
